Refund Policy

1. Overview
This Refund Policy explains when and how refunds are available for MedFlow Digital's services. We offer two types of engagements — one-time website projects and monthly retainers for digital marketing, SEO, and design — and refund eligibility differs between the two.
By purchasing any service from MedFlow Digital, you agree to the terms outlined below. This policy works alongside our Terms of Service.
2. One-Time Website Projects
Website builds (e.g. our Essential and Growth web development packages) are billed against project milestones rather than a single upfront charge. Refund eligibility is tied to how much work has been delivered:
- Before work begins: If you cancel before we start design or development work, you are entitled to a full refund of any deposit paid.
- After work begins, before first milestone delivery: A 50% refund of the deposit is available to cover discovery, planning, and design time already invested.
- After a milestone has been delivered:Amounts paid for completed and delivered milestones are non-refundable. Only milestones not yet started remain eligible for a refund.
- After project launch: Once a website has been launched to a live domain, the project is considered complete and is not eligible for a refund.
To request a refund on a website project, contact us within 7 days of the relevant milestone or cancellation event.
3. Monthly Retainers
Digital marketing, SEO, and graphic design retainers (e.g. our Essential and Growth monthly plans) are billed in advance for each billing cycle and renew automatically until cancelled.
- Retainer fees are non-refundable once a billing cycle has started, because work — content creation, ad management, SEO execution, reporting — begins immediately at the start of each cycle.
- You may cancel at any time to stop future billing. Your plan will remain active through the end of the already-paid billing cycle, and no partial-month refund will be issued for the unused portion.
- If we fail to begin any contracted work within 14 days of a new billing cycle starting, you may request a full refund for that cycle.
4. Non-Refundable Items
The following are never eligible for a refund, regardless of engagement type:
- Third-party costs already incurred on your behalf, including ad spend, domain registration, premium plugins or themes, stock assets, and paid software subscriptions.
- Setup fees and onboarding fees.
- Custom work delivered and approved by you, including completed website milestones, published content, and finalized designs.
- Services terminated due to a violation of our Terms of Service.
5. Cancellation Process
To cancel a retainer or request a refund on a website project, email info@medflowdigital.com with your account details and the reason for cancellation.
We will confirm receipt within 2 business days and process any approved refund to your original payment method within 5–10 business days.
6. Disputes & Chargebacks
We ask that you contact us directly before filing a chargeback with your bank or card issuer — most billing questions can be resolved faster this way. Filing a chargeback for work that has already been delivered may result in suspension of active services while the dispute is reviewed.
7. Changes to This Policy
We may update this Refund Policy from time to time. Changes apply only to purchases made after the updated policy is posted; they do not retroactively change the terms of an engagement already in progress.
